2. What data we collect

We collect personal data about you (the owner) and your dog to provide our services effectively:

  • Owner: Name, phone, email, address (if collected), booking details, and communications.
  • Dog: Name, breed/size, coat notes, grooming history, behaviour notes, health disclosures provided by owner, vaccination proof, and flea/tick notes.
  • Media: Photos/videos of your dog (if used for marketing; include opt-out/consent details).
  • Payments: Transaction confirmations (we do not store full card numbers).

3. Why we collect it (purposes)

We use your data to:

  • Provide grooming / spa services and manage appointments.
  • Communicate about bookings (SMS/email).
  • Maintain welfare/safety notes to deliver 1:1 grooming appropriately.
  • Keep accounting and tax records.
  • Send marketing communications (only where relevant and lawful).

We process your data under the following lawful bases:

  • Contract: For appointment and service delivery.
  • Legal obligation: For accounting and tax purposes.
  • Legitimate interests: For service improvement, fraud prevention, and security.
  • Consent: For marketing images/videos and non-essential cookies.

4.1 Is providing data mandatory?

  • Required to book and deliver services: Your name, contact details (phone/email), appointment details, your dog’s name, and basic details (e.g., breed/size/coat type).
  • Required for safety and welfare: Any information you know about your dog that could affect safe handling (e.g., aggression, severe anxiety, recent injury/surgery, relevant skin/health concerns, allergies).
  • Optional: Marketing preferences (newsletter) and permission for your dog’s photo/video to be used in marketing (you can opt out).

If you don’t provide required information: We may be unable to confirm your booking, safely complete the groom, or may need to reschedule/refuse service where necessary for welfare and safety.

5. Who we share data with

We may share your data with the following categories of service providers:

  • Booking/CRM system provider
  • Payment processor
  • Email/SMS provider
  • Website hosting/IT support
  • Accountant/bookkeeper

6. International transfers

We primarily store and process your data within the European Economic Area (EEA). If any of our service providers process data outside the EEA, we ensure appropriate safeguards are in place, such as adequacy decisions by the European Commission or standard contractual clauses, to protect your data.

7. Retention (how long we keep data)

  • Booking and payment records: Retained for at least 6 years for accounting and tax compliance.
  • Client and dog profile notes: (coat/behaviour/health notes supplied by owner) Retained while the client is active, and then deleted or anonymised after 6 years, unless we need to keep them longer for legal/insurance reasons.
  • Marketing consent records: Retained until consent is withdrawn, then removed/suppressed.

8. Automated decision-making (including profiling)

We do not make decisions about you based solely on automated processing (including profiling) that produce legal effects or similarly significant effects. Booking acceptance, service decisions, welfare decisions, and pricing adjustments (where applicable) are made by a human.

We may use automation for administrative purposes (e.g., booking confirmations, reminders, waitlist notifications, or basic client segmentation for communications). These do not have legal or similarly significant effects. If you have concerns about any automated processing, you can contact us and request further information.

9. Your rights

You have the following rights regarding your personal data:

  • Right to Access, Rectification, Erasure, Restriction, Objection, and Portability.

  • Response timeframe: We will respond within 1 month of receiving a valid request; we may extend this by up to 2 further months for complex requests (we will inform you within the first month if an extension is needed).

How to complain to the Data Protection Commission (DPC)

If you believe we have not handled your personal data correctly, you can contact us first. You also have the right to raise a concern or lodge a complaint with the Irish Data Protection Commission (DPC):

10. Marketing preferences (incl. photo/video)

You can withdraw consent at any time (e.g., for marketing emails or photo/video use) by contacting us at hello@pupcoature.com; withdrawal won’t affect processing already carried out before withdrawal. Opt-out requests for photos/videos apply to future content.
